What Are Outlook Tags?

Outlook tags are color-coded indicators that reflect the status of a customer relationship based on the most recent interaction. They help you quickly understand whether a customer interaction has a positive, neutral, or negative outlook, allowing you to prioritize follow-ups and manage customer relationships effectively.

Key Features of Outlook Tags

Color-Coded: Tags are color-coded to represent different outlooks: positive, neutral, and negative.

Integration: Tags are integrated with notes and can be viewed in the news feed.

Automatic Prompt: When adding a note related to customer contact, users are prompted to select an outlook tag.

Adding Outlook Tags to a Note

You can only enter outlook tags to a note while creating or editing it (If you have already saved a note, enter edit mode by clicking Show at its bottom right corner, then Edit at the top right corner.)

Outlook tags are only relevant if your note is about a customer interaction. Therefore MidiCRM will not display any outlook tag options if your note is not linked to a company or contact.

As soon as you enter at least one related contact or company in the relations box, you will be asked if the customer was contacted.

  • Answer NO if:
    • The linked entity is not a customer, or
    • The note is linked to a customer, but its content does not describe a direct contact (e.g., an internal status update about that customer), or
    • The note describes a form of contact that did not allow any feedback from the customer (e.g., a message you left or an email you sent)
  • Answer YES if:
    • The linked entity is a customer, and
    • The note describes a direct interaction with that customer. A direct interaction is one where your contact has the opportunity to provide feedback (e.g., a phone call or face-to-face meeting.)

If you answer yes, you will be prompted to choose one of the three outlook tags:

  • Select POSITIVE if you think the customer is likely to initiate, continue or increase their business with you. 
  • Select NEGATIVE if you think the customer is likely to decrease, terminate, or not initiate doing business with you.
  • Select NEUTRAL if you don’t think you have enough feedback to decide, or the customer has not shown any positive or negative indication.

Viewing Outlook Tags in the News Feed:

Outlook tags appear as color-coded markers next to each note, allowing you to quickly assess the status of customer interactions. This visual representation helps you prioritize tasks and follow-ups based on the outlook.
