What Are Custom Note Tags?

Custom note tags are colored markers that you can attach to notes to indicate their content and relevance. They help you quickly identify the type of information a note contains without reading the entire text. Custom note tags are particularly useful for categorizing notes by topics, projects, departments, or any other criteria relevant to your business.

Key Features of Custom Note Tags

Color-Coded: Tags are color-coded for easy identification.

Customizable: You can create tags that fit your company’s specific needs.

Filterable: Tags can be used to filter the news feed, allowing you to focus on specific types of notes.

Visible: Tags are displayed alongside note titles, providing immediate context.

Managing The List of Available Custom Note Tags

For consistent tagging of notes throughout your organization, all users share a common set of custom tags that they can choose from and add to their notes. The list of available tags is managed by users who have System Administrator level access. If you are a system administrator, you can manage this list as follows:

  • Click the tag symbol next to the search bar.
  • Click the second (Note tags) tab in the new window.
  • Click the Edit button.
  • Rename, delete, add new tags, assign colors and reorder as needed.
  • Save.

Alternatively, you can manage the tag list by clicking the settings icon under the new note entry box. To learn more about this method, watch the video above.

Tagging a Note

You can only add a tag to a note while creating or editing it (If you have already saved a note, enter edit mode by clicking Show at its bottom right corner, then Edit at the top right corner.)

While in edit mode, the available tags you can choose from are displayed under the note body text box. To add a tag to your note, click on it once. You can add as many tags as needed. Selected tags appear in blue. To deselect a tag, click it again.

Once all applicable tags are selected, you can save your note.

Using Tags to Filter Your News Feed

By filtering your news feed to display only notes with certain tags, you can easily create custom feeds for specific use cases. To do this:

  • Click the funnel-shaped filter symbol near the top right corner of your feed.
  • Click the tags you are interested in.
  • Click Apply to view only the notes that have one of the tags you selected.
